Key Responsibilities

  • Manage virtual reception duties, including answering phones, responding to emails, and directing patient inquiries.
  • Schedule and confirm patient appointments, optimizing the daily clinic schedule.
  • Process patient registrations, update medical histories, and maintain accurate digital patient records with utmost confidentiality.
  • Handle billing and insurance claims, including pre-authorizations and payment processing.
  • Communicate effectively with patients regarding treatment plans, appointments, and financial arrangements.
  • Assist with administrative tasks such as creating reports, managing referrals, and organizing virtual documents.
  • Provide support to dental office staff and dentists as needed for remote administrative tasks.
  • Ensure compliance with all privacy regulations (e.g., PHIPA, HIPAA as applicable to client locations).
  • Monitor and manage virtual waiting rooms and patient flow for online consultations. Required Skills
  • Minimum 2 years of experience as a Dental Receptionist or Office Assistant.
  • Proficiency in dental practice management software (e.g., Dentrix, "Abeldent", "Open Dental", "MaxiDent").
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and manage time effectively in a remote setting.
  • High-speed internet connection and a dedicated home office space.
  • Familiarity with dental insurance procedures and billing codes (CDA, ODA fee guides).

Preferred Qualifications

  • Completion of a Dental Office Administration program.
  • Experience with virtual communication tools (e.g., Zoom, Microsoft Teams).
  • Knowledge of social media management for dental practices.
  • Familiarity with basic accounting principles in a dental setting.
